SMBs Underestimate Print Security Risks as 57% Prioritize Cybersecurity Elsewhere

As digital transformation accelerates in regions like the UAE, the role of printers has evolved significantly. Once viewed as simple, low-maintenance devices, printers are now intelligent, networked machines that handle sensitive data. However, many small-to-medium businesses (SMBs) continue to overlook the security implications of these devices, treating them as disconnected from their broader cybersecurity strategies. This negligence creates a widening security gap, as devices that frequently process confidential information are not managed with the same rigor as other endpoints.

Recent research highlights this alarming trend, revealing that 57% of SMBs consider print security a low priority in their cybersecurity frameworks. This disconnect between the critical nature of print workflows and the scant attention they receive has fostered vulnerabilities that cybercriminals are eager to exploit.

Print Workflows Beyond IT’s Line of Sight

The landscape of print workflows has expanded beyond traditional office environments. They now encompass home offices, shared spaces, and personal devices, where visibility is limited and control becomes increasingly challenging. These workflows often handle highly sensitive information, including payroll data, contracts, and patient records. Without a comprehensive understanding of how documents are printed, shared, or stored, organizations risk losing control over one of the most common avenues for data exposure. Simple mistakes, such as sending a document to the wrong printer or failing to collect printed materials, can lead to significant breaches of confidentiality.

According to Quocirca, 56% of SMBs reported experiencing a print-related data loss incident in the past year. Furthermore, 57% indicated that documents printed on employee-owned home printers are a leading cause of data loss.

Behavioral factors also contribute to this risk. A significant 55% of SMBs noted that employees often attempt to bypass organizational print guidelines. Meanwhile, 66% of knowledge workers mistakenly assume that printers are secure simply because they are behind a firewall, and half do not perceive printers as security threats at all.

Legacy Print Infrastructure, Modern Security Risk

The reliance on outdated systems poses another significant risk. Nearly two-thirds (65%) of SMBs express concern about the security vulnerabilities associated with legacy printers that operate on outdated firmware and default credentials. These devices can quietly process and store sensitive data while remaining largely unmanaged.

Outdated firmware and unchanged default settings can transform printers into easy access points within a network. If compromised, they can serve as gateways to broader systems, particularly when they are not monitored with the same standards applied to other endpoints. Inconsistent security measures across devices create unnecessary risks, leaving portions of the IT environment inadequately protected.

Scaling Print Security for the Future of Work

A growing number of SMBs—almost 69%—acknowledge that print security requires improvement. To secure the future of work, organizations need robust print hardware foundations and protective measures that evolve alongside emerging threats.

Smart printing solutions build on these secure foundations by embedding visibility, policy enforcement, and audit trails directly into print and scan workflows. Among SMBs that have implemented smart printing, 89% report enhanced visibility into printing and scanning activities across users and locations. Additionally, 86% believe it assists in meeting compliance and security standards, while 85% find it improves the enforcement of rules and restrictions.

In a rapidly changing work environment, treating print security as a secondary concern is no longer viable. The ramifications of a data breach can be severe, encompassing financial losses, regulatory repercussions, and long-lasting damage to reputation. Excluding print from the overall security strategy only heightens these risks.

Printers have become integral to modern office operations. As print and scan workflows increasingly transition to digital and cloud-connected formats, they require the same level of protection as any other endpoint. For SMBs, this necessitates three critical components: secure hardware at the core, adaptive protection against evolving threats, and the capability to maintain oversight and control across workflows at scale.

Integrating print into the overarching security strategy is a pragmatic approach to mitigating risks and safeguarding sensitive information as work environments become more distributed.
